Planning a successful event

Been to an event that just didn't work?

You know the one's where the food was awful and the venue didn't suit the style of event, that sort of thing.

I think it's safe to say everyone at somepoint will say yes - whether it was for business or pleasure. So just how can you plan and get it right?

Here are our top tips:

  1. What is event for? Knowing who you are planning to host is everything. If it's a business event, the venue will need to be sympathetic of the reason you are holding the event. For example say your event is to launch a diet product, it would be better to hold it at a health and fitness venue rather than a fast food or restaurant. Sounds simple doesn't it, but it can be tricky.

  2. Who will be attending? Will your guests be prepared to take time out of their busy day and how far will they have to travel. Your event needs to be worth a business investing time and money in attending.

  3. What will you be saying? Whatever the reason you are hosting the event, the agenda and how you communicate the content of the event will be the biggest influence on your attendees. The agenda or the reason you are hosting your event needs to be compelling.

  4. How you will promote the event You can do this through 'save the date' style invitations, emails, posters, word of mouth and don't forget that referrals can be especially effective at filling seats.

So now you've got your event booked and organised - it's time to think about the execution of it on the day. Spend time walking through the day as if you were attending it.

  • Where will your attendees 'check-in' or report their arrival, there are some great online ticketing services which can help such as eventbrite

  • What will they see, where will they be - remember to brand key places that are likely to receive the most amount of footfall

  • Do you plan to give your attendees any information or freebies - where are you going to locate these?

  • Will you be offering food - what will they eat, where will they go and what do they do?

  • Where do your attendees go if they need help, do you have enough bodies on hand to help

  • How will your helpers be identified?
